Summary:
The Human Resources Coordinator plays a key role by providing support to the Human Resources Department and serving as the first point of contact for the department. The Coordinator handles routine inquiries on internal policies, systems and general human resources information for the hospital. Also, the Coordinator supports highly visible initiatives, programs and events related to hospital culture, teammate engagement, internal communications and HR programs and policies. The Coordinator maintains a high level of professionalism, confidentiality, and sound judgement at all times.
Responsibilities:
1. Greets visitors and teammates in person and via phone using excellent customer service skills. Notifies Human Resources teammates of visitor arrival, answers incoming calls and directs callers appropriately. Maintains the Human Resources reception area to provide a welcoming, neat and professional space for teammates, candidates and other visitors. Ensures backup front desk coverage when away from the desk.
2. Responds to general inquiries and issues relating to payroll, teammate benefits, recruitment, and the interpretation of policy or procedure. Answers questions or directs the teammate to the appropriate department or hospital resource.
3. Conduct monthly benefit reconciliations to ensure accurate enrollments with the vendors.
4. Track terminations in the appropriate systems (ARC, EPIC, Education Balances, Skill Survey).
5. Track missed benefit premiums and take appropriate action as required.
6. Supports the administrative needs of the HR Department as needed. This includes creating, organizing and scanning documents, spreadsheets and presentations, preparing expense reports, copying, faxing and other routine administrative duties.
7. Coordinates and facilitates Human Resources programs, projects and events such as annual or on-going teammate appreciation events. This includes logistical planning, communication, event promotion, ordering and preparing documents or materials, site reservations, hospitality items, internal promotional materials, and technology support, etc.
8. Works in coordination with other Administrative and Executive Assistants across planning teams for events and calendar management.
9. Responsible for ordering office supplies for the HR Department and maintaining par levels.
10. Routes incoming and outgoing mail and packages for the HR department. Creates and/or assists with mass mailings, as needed.
11. Responsible for the timely processing and coding of department invoices accurately and in a timely manner. Track expenses in the fiscal year budget spreadsheet.
12. Provides technical support for applicants and teammates at kiosks.
13. Serves as the point of contact for equipment maintenance requests or facilities issues.
14. Facilitates communication within HR and across the organization.
15. Ensures HR time and attendance records are complete and accurate for payroll processing.
16. Reviews all new hire files for compliance and completion. Creates files and scans employment documents (licenses, background check and reference reports) into files.
17. Other assigned duties and projects as requested.

Associate’s Degree required. Bachelor’s degree preferred.

Experience
Minimum 2 years’ experience working in a business setting with demonstrated competencies in tracking and monitoring confidential information and coordinating highly visible events and programs. Previous HR experience is strongly preferred.

• Advanced MS Office skills required, particularly Outlook and Word, and the ability to learn new software rapidly.

Valid NC Driver’s License: No
If driving a Wayne UNC Vehicle, must be 21 years old and MVR must be approved by Risk Management.
