A Brief Overview
The Operations Specialist is responsible for the development and execution of endorsed King of Prussia Hospital (KOPH) operational processes, projects, and events as well as advanced support of administrative operations and other KOP lines of business as directed, with requirements that include but are not limited to expense and supply management, event logistics, process development, project management, and KOPH administrative operational support to meet hospital goals.
What you will do
- Process Development:
- Participate in the development and maintenance of administrative operations policies, processes, and job aids. Develops, updates, and audits KOPH administrative standard operating procedures.
- Project Management:
- Responsible for the support of initiating, planning, tracking and reporting multiple projects within KOPH Administrative Operations. Provide ongoing advanced project support including utilization of project management resources, project plans and tracking tools. Partner with leadership for operations training delivery associated with new or updated processes.
- Expense & Supply Management:
- Generate purchase order requisitions, secures required vendor credentials, ensures invoice processing, and tracks purchase order values. Completes/ oversees internal expense reports and reimbursement. Manage invoices and other payment requests and ensuring that they are entered into the appropriate approval streams. Track supply inventory levels, processes purchase orders, and stock and maintain office supplies.
- Event Logistics:
- Triage intake requests for administrative operations support. Coordinate and secure resources for KOPH events; verify space, materials, and resources; performs or assigns room set up and breakdown responsibilities. Develop agendas and documentation for team meetings; participates in and responds to the capture of minutes and follow-up of action items recorded.
- Operational Support:
- Respond to operations inquiries or training demands. Coach or train as needed other operational team members. Escalate issues as needed to the Senior Manager of Growth & Operations. Occasionally work varied hours and offsite as needed to complete assignments.
Education Qualifications
- High School Diploma / GED - Required
- Bachelor's Degree - Preferred
Experience Qualifications
- At least three (3) years Related experience Required
Skills and Abilities
- Advanced proficiency in word processing, electronic mail, spreadsheet, database and presentation applications (Microsoft Office) (Required proficiency)
- Excellent communication, organizational and time management skills. (Required proficiency)
- Experience with digital tools to enhance administrative processes. (Required proficiency)
- Ability to adapt to progressive increase in responsibility (Required proficiency)

Licenses and Certifications
- Project Management Certification (PMP) - Project Management Institute - upon hire - Preferred
- Lean Six Sigma Green Belt (LSSGB) - The Council for Six Sigma Certification - upon hire - Preferred
